πŸ“… How Do I Use the Sessions Calendar?

Learn how to manage, edit and create Sessions for your Timed Session Event.

The Sessions Calendar is where you can manage all of the Sessions for your Timed Session Event, including adding new Sessions, changing capacities and managing when Sessions are available to customers.

πŸ“† Accessing the Sessions Calendar

For Timed Session Events, you'll find the Sessions Calendar tab on the Event Dashboard.

πŸ–₯️ Desktop

The calendar displays all Sessions taking place across a 7-day period.

Use the arrows above the calendar to move forwards or backwards by a week.

πŸ“± Mobile

Due to the smaller screen size, Sessions are displayed one day at a time.

On the event dashboard for a Timed Session Event, there is a tab to manage Sessions, called the Sessions Calendar.


βš™οΈ What Can I Manage?

The Sessions Calendar allows you to:

  • βž• Add new Session times

  • πŸ“Š Edit Session capacities

  • πŸ‘€ Hide Sessions from the public

  • πŸ”΄ Close Sessions so they're no longer on sale

  • πŸ—‘οΈ Delete Sessions with no sales

  • ❌ Cancel Sessions that have already had sales


βž• How to Create a New Session

To create a new Session:

  1. πŸ“… Find the Date and time where you'd like to add a Session.

  2. Click the + icon.

  3. Set the capacity for the new Session.

  4. Choose whether you want the Session to be hidden from the public.

Any existing ticket types will automatically be applied to the new Session, including whether each ticket type affects the Session's capacity.

πŸ’‘ Top Tip: You can hide a new Session if you're not ready for it to be visible or available for customers to purchase yet.


✏️ How to Edit an Existing Session

Hover over the Session you'd like to manage. You'll see three icons.

πŸ“Š View Sales

The first icon shows a breakdown of your Session sales and how those sales are affecting the available capacity.

βš™οΈ Manage Session

The second icon allows you to:

  • πŸ“Š Amend the Session capacity

  • πŸ‘€ Hide the Session while keeping it on sale

  • πŸ”΄ Close the Session so it is no longer on sale

πŸ—‘οΈ Delete or Cancel

The third icon allows you to either delete or cancel the Session, depending on whether tickets have been sold.

πŸ—‘οΈ No Sales

If the Session has no sales, you'll see a trash can icon.

Click the icon and then select Delete Session to permanently remove it.

❌ Has Sales

If the Session already has sales, you'll see the cancel icon instead.

The Session must be cancelled using the Session Cancellation flow.

⚠️ Please Note: Sessions with existing sales cannot be deleted.


πŸ“… Managing a Full Day

You can also quickly manage all Sessions for a particular Date.

Click the three vertical dots next to the Date to access the available day-level options.

This allows you to make changes across a full day's worth of Sessions without having to update each Session individually.

⚠️ Please Note: Some day-level options may not be available if Sessions on that Date have already received ticket sales.


🎟️ Add-On Tickets

You can also create Add-On tickets for your Sessions.

These allow customers to purchase additional items or experiences that can be used or redeemed at your event.
